Looking for a Wellness Center Front Desk Co-Ordinator.
GENERAL SUMMARY:
The Front Desk Co-Ordinator is responsible for ensuring a positive customer experience, both personally and through supervision. You will be responsible for delivering great member service and supplement revenue. We need someone to work on Weekends from 9am to 4pm.
Position Overview:
We are seeking a highly motivated and customer-focused Office Co-Ordinator to oversee daily operations at our wellness center. This role is responsible for delivering exceptional client experiences, managing administrative and operational functions, supporting sales efforts, and ensuring the center runs efficiently while meeting financial and performance goals. As needed, you address member issues and oversee scheduling and timekeeping activities. Cleaning is the biggest activity you shall have.
Key Responsibilities.
Client Experience & Front Desk Operations:
- Greet all clients warmly and assist them with onboarding and their daily routines.
- Ensure every client has a positive experience and address concerns promptly and professionally.
- Answer all incoming calls, provide detailed information about services, and convert inquiries into memberships.
- Provide tours of the center and explain available wellness services and programs.
Sales & Membership Growth:
- Promote and sell memberships, services, and wellness programs.
- Execute effective prospecting strategies and convert leads into members.
- Collaborate with leadership to review sales performance and identify opportunities for improvement.
Operations & Facility Management:
- Maintain cleanliness and organization of the facility at all times.
- Manage towel laundering, drying, folding, and restocking.
- Conduct daily facility walk-throughs and report maintenance or repair needs.
- Ensure compliance with all operational procedures and company policies.
Administrative Duties:
- Manage scheduling, appointments, and client records using scheduling software.
- Coordinate directly with clients for bookings, follow-ups, and rescheduling.
- Maintain accurate records of client programs, purchases, and progress tracking.
- Perform general administrative and housekeeping duties as needed.
Team & Performance Management:
- Set and track personal daily, weekly, and monthly goals.
- Support a high-performing and engaged team environment.
- Assist in enforcing company policies and procedures among staff.
- Work closely with leadership to ensure operational excellence.
Member Engagement & Wellness Support:
- Assist members on the floor and encourage participation in wellness programs.
- Support services such as Hyperbaric Chamber sessions, Float Spa, Yoga Therapy, and Reiki Healing.
- Ensure accurate administration of client wellness plans and services.
Organization Relationships:
- Works closely with all team members and interacts with clients daily.
Required Qualifications.
Knowledge, Skills & Abilities:
- Strong knowledge of wellness equipment and program design.
- Experience with scheduling software (Acuity preferred).
- Excellent interpersonal and communication skills.
- Strong customer service orientation.
- Ability to multitask and stay organized in a fast-paced environment.
Education & Experience:
- High school diploma or GED required.
- Bachelor’s degree in a related field (e.g., Exercise Science, Nutrition, Health Promotion) preferred.
- Management or employee relations experience is a plus.
Physical Requirements:
- Prolonged standing and walking.
- Ability to bend, squat, reach, and lift/move items as needed.
- Active engagement on the floor assisting clients.
